Spring 2024 Semester Closing Notice

The Spring 2024 semester will end on Friday, May 3, 2024. Residents will need to vacate their room within 24-hours of their last final exam. All residence halls close at 6:00 pm on Friday, May 3, 2024. All residents must be out of the building by 6:00 pm Friday, May 3, 2024, unless they receive prior permission to stay from the Residence Life and Housing Office.

Upper classmen who will be residing in PennWest housing for the 2024 – 2025 academic year will be able to move into their Fall 2024 housing assignments tentatively on Saturday, August 24, 2024, beginning at 10:00 am.

 

LATE STAY APPLICATION

If you are unable to move out by Friday, May 3, 2024 (this includes students whom the University requires to remain on-campus), you must complete the break request form before 3:00 pm Friday, April 26, 2024.  

  • WHO NEEDS TO APPLY?
    • Graduating students who are participating in the ceremony
    • Students participating/volunteering for graduation
    • Students with evening finals on Friday, May 3rd
    • Additional extenuating circumstances
  • WHERE DO I APPLY?
    • The application will open on Monday, April 15th
    • In your Housing and Dining Portal, under contracts, titled “Spring 2024End of Semester Break Request”
  • WHEN WILL I HEAR BACK ABOUT MY LATE STAY APPLICATION?
    • Residence Life and Housing will respond to each application via your student email by 4:00 pm on Monday, April 29th

MOVE OUT PREPARATION  

This information is provided to provide you with a smooth move-out process and to avoid charges.

  1. RETURNING KEYS
    1. In addition to nightly desk duty shifts, the community assistants will have scheduled shifts during the day beginning Monday, April 29 through Friday, May 3.
  2. PREPARING YOUR ROOM
    • Clean your room and common areas, you could be billed for excessive cleaning services.
      • Remove all garbage to the trash room. Trash left behind in common areas could be billed between all roommates as Residence Life does not know who it belongs to.
    • Remove all belongings. Any items left behind will be considered abandoned.
      • Do not leave unwanted items (sheets, curtains, clothing, fans, food, toiletries, mini-fridges, etc.) in the room. You will be billed if staff have to remove these items from your room.
    • Leave command strips on walls. Attempting to remove these can cause more damage
    • Double-check the furniture. Return furniture to the original configuration
    • Close and lock windows
    • Set heat on low
    • Turn off lights
    • Return any hard keys. If you were given hard keys (room key, mailbox key) and you do not return them before leaving, you will be billed for recores. Recore costs range from $73-$400+
    • Remove items from community fridge(s). Items not removed will be disposed of.
  3. NON-PERISHABLE FOOD DONATIONS
    • All items will be donated to the PennWest Pantry
    • Non-perishable food items (cereal, soup, microwavable noodles or rice, dried or canned fruit, oatmeal, etc.) can be donated.
    • Boxes will be placed in the main lobby of your residence hall.
  4. COLLECTING YOUR MAIL
    • Check your mailbox and retrieve any packages you have before the mailroom closes for the semester. Any mail that has not been retrieved will be returned to the sender. Please be aware that your mailbox may change if you are returning next school year.
  5. MOVING CARTS
    • A limited number of carts will be available. Plan your move-out so that you can return your cart as quickly as possible for others to use.
      • Check with your hall staff, as your residence hall may have a sign out method for borrowing a cart.
    • Please bring boxes and/dollies to assist with your move out.
    • Carts will be placed in the main lobby of your residence hall. If none are in the lobby, none are currently available.
  6. 24-HOUR QUIET HOURS
    • 24-hour quiet hours will be in effect from Friday, April 28, 2024, at 11:59 pm until Friday, May 5, 2024, at 6:00 pm. Please respect your fellow residents who are studying.
  7. FLOOR MEETINGS
    • Community Assistants will hold mandatory floor meetings regarding Spring 2024 Closing between Monday, April 22, and Thursday, April 25.

BILLING INFORMATION

  • Final charges (if any)will be billed to your PennWest Student Account by the end of May.
  • If we cannot tell who is responsible for the damage, the bill will be divided equally among room residents.
  • You must communicate with your roommate(s) about damages, trash removal, and responsibility for charges and payment expectations.
  • Keep an eye on your student email for any communication from our office.
